Administrative Assistant, Health Policy and Practice Services

The American Academy of Physical Medicine and Rehabilitation (AAPM&R), a national medical society representing over 8,000 physicians has an immediate opening for an Administrative Assistant, Health Policy and Practice Services.

Provides administrative support for the Department of Health Policy & Practice Services, including copying, filing, responding to telephone inquiries, drafting standard correspondence, and handling agenda preparation and distribution.  Assists Associate Executive Director and other departmental staff with implementation of all departmental activities as they evolve.

Essential Duties and Responsibilities:

  • Performs general clerical and administrative functions, including word processing (including table creation in Word), copying, filing, typing, and handling telephone calls.
  • Provides staff support to the department’s committees of responsibility including assisting with meeting preparation, arranging conference calls, and assisting with the preparation of agendas.
  • Process department invoices.
  • Assists with the facilitation of information exchange between Academy members and responds to questions on Academy activities and policies.
  • Organizes and manages official Academy documents, including filing and preparing copies for distribution, responding to member inquiries, and inputting and indexing new documents such as position papers.
  • Assists with the execution of member alerts and surveys through the online grassroots advocacy/lobbying software system.
  • Responds to telephone requests from members, non-members and the public, providing information on requests regarding the Academy's services, programs, and position papers. Answers correspondence as directed. Also, monitors inquiries and advises appropriate departmental personnel on legislative and practice issues of interest to Academy members.
  • Responsible for assisting with all administrative aspects of any departmental courses.
  • Assists with special projects and takes initiative to learn about key health policy and medical practice issues.
  • Website maintenance.
  • Responsible for daily operation of mail and delivery system, maintenance of general and kitchen supply inventory and ordering based on a rotation schedule with other administrative staff.
  • Provides backup for customer service team as needed.
  • Performs other duties as assigned by the Associate Executive Director, Health Policy & Practice Services.

Required Knowledge, Skills and Abilities:

  • Knowledge of general office methods, procedures, practices and equipment, and filing and recordkeeping procedures; Knowledge of association management processes and iMIS database system, a plus.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional customer service skills, including the ability to respond to Academy members, internal staff and others in a professional, knowledgeable, helpful, and friendly manner.
  • Good diction, grammar, and vocabulary, in both verbal and written usage with the ability to organize, structure, and communicate information and ideas clearly both verbally and in writing.
  • Strong data entry skills and excellent attention to detail.
  • Ability to organize, prioritize and complete multiple tasks within deadlines.
  • Ability to effectively collaborate within and across departments in order to achieve both departmental and organizational goals.
  • Maintains high professional standards of integrity, ethics, and commitment to the goals of AAPM&R.

Education and Experience:

  • High School degree is required.
  • Associates or BA degree is preferred.
  • Three or more years related experience.
