Position Overview
The Administrative Assistant plays a key administrative and operational support role by providing essential support to our corporate support team, including sales staff, marketing efforts, and corporate events. This position is responsible for coordinating meetings, managing data and documentation, assisting with marketing and sales materials, and ensuring seamless execution of various corporate initiatives.
Key Responsibilities
- Schedule meetings for sales staff, ensuring smooth coordination and communication.
- Organize and set up committee and in person meetings, including preparing and distributing materials.
- Create and track Letters of Agreement and process invoices and expense reports with accuracy and timeliness.
- Help secure equipment for educational activities.
- Help support AAPM&R’s Career Platform.
- Assist in data management, maintaining and updating shared records.
- Organize and track prospect lists to support sales and marketing efforts.
- Assist in the development of key marketing assets.
- Make web updates and edit copy as needed.
- Write and or repurpose marketing copy for campaigns and initiatives.
- Program marketing copy into digital tools and manage uploaded lists.
- Support execution of grants and sponsorships.
- Keep department timelines and calendars up to date.
- Maintain and update key documentation to ensure consistency and accessibility
AAPM&R Offers
Based on experience and skillsets, the compensation range for the Administrative Assistant, Business and Resource Development position is $22.56 – $24.61 per hour. AAPM&R offers the following benefits:

Requirements
- 1+ years of experience in an administrative, marketing, or corporate support role.
- Bachelor’s degree in Business Administration, Marketing, Communications or a related field or relevant experience required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other business tools.
- Experience with a CRM (customer relationship management software tool), a plus.
- Experience with data management, web updates, and marketing platforms, a plus.
- Must have access to our Rosemont, IL office biweekly for 5-6 days per month on average.
- Travel is minimal and may include attending AAPM&R’s annual meeting for 5 days in the fall
