Position Summary
This role is a key member of a high-impact, revenue-generating team, focused on building strategic relationships with companies to uncover opportunities for equipment, grants, collaborations, and career services. Responsibilities include managing the full lifecycle of equipment procurement for hands-on educational activities, overseeing grant writing and administration, and serving as the primary liaison for the vendor supporting AAPM&R’s Career Exploration Platform. Additionally, this position leads the sales and implementation process for Job and Fellowship Fairs, ensuring seamless execution and value delivery and potential promotion and sales of new activities.
Essential Duties and Responsibilities
- Collaborates with Education and Meetings teams to understand new and existing products and services, generating ideas for promotional initiatives and grant opportunities.
- Oversees the in-kind equipment process for AAPM&R educational activities, including requests, grant applications (as needed), Letters of Agreement, implementation and reconciliations.
- Manages the full grant lifecycle, including writing, submission, and reconciliation for educational programs.
- Serves as the primary liaison with the vendor for AAPM&R’s Career Exploration Platform and coordinates requirements across the Academy.
- Leads planning and execution of in-person and virtual Job and Fellowship Fairs.
- Leads promotion and sales efforts for potential new activites.
- Prepares progress reports for all activities for use in committee and board reports as well as status reports and translates data into Academy financials through regular forecasting exercises.
- Ensures compliance with relevant industry standards and codes, including ACCME and CMSS.
- Maintains accurate records of key contacts and organizational relationships.
- Provides support to the Director of Business and Resource Development and other team members as needed for other activities.
Required Skills & Qualifications
- Bachelor’s degree in business, marketing, or a related discipline preferred.
- Three to four years of professional experience, ideally in business development, association management, grant administration, or healthcare.
- Proven experience in grant writing, submission, management, and reconciliation, particularly with pharmaceutical and medical device companies; experience with foundation or federal grants is a plus.
- Exceptional communication and organizational skills, with the ability to develop and maintain accurate timelines to ensure project success.
- Strong business writing and communication abilities, including the capability to create promotional marketing and advertising materials when needed.
- Skilled in promoting ideas, services, and products to diverse professional audiences.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with membership or related database systems.
- Ability to organize, analyze, and interpret data to produce detailed, actionable reports.
- Strong problem-solving skills, with the ability to listen actively and provide effective solutions.
- Knowledge of budget creation and management, including forecasting and tracking revenue and expenses.
- Collaborative team player with a customer-focused mindset, committed to achieving organizational goals.
- Maintains the highest standards of professionalism, integrity, and ethical conduct in alignment with AAPM&R’s mission and values.
- Working knowledge of ACCME and CMSS guidelines.
